Connect Google Drive to a DynamicMail Data Room
Connect a Google Drive account to a DynamicMail Data Room so you can work with file copies in the room. Check the account, folder settings and sync direction carefully: this connection requests broad Drive access, and normal room sync can upload as well as download files.
Screenshots are from the published demo. Your account, files and screen layout may be different; follow the current labels in the steps.
Before you start
An activated DynamicMail workspace
Sign in to the workspace you are authorised to use. If you are new, follow your invitation or choose Request account on the DynamicMail website. A public request must be reviewed and does not activate a workspace immediately. Complete the applicable account terms and identity checks before continuing.
A Data Room and the right Google account
Use a Data Room you are authorised to manage and a Google Drive account you are allowed to connect. Review the room's files before syncing so you know what may be uploaded. Your Google Workspace administrator may restrict the app or its permissions.

-
Sign in and open your Data Room
Sign in to your activated DynamicMail workspace and open the Data Room you want to use. If you still need activation, follow the onboarding guide first. Signing in with Google does not itself grant DynamicMail access to your Drive files.
What to expect: You are in the intended Data Room with access to its controls.
-
Open Data Sources and choose Google Drive
In the Data Room, open Data Sources and select Google Drive. Choose Connect for a new connection. If an account is already listed and you want another one, choose Add account.
What to expect: DynamicMail starts authorisation for a Google Drive account.
Open Data Sources from the Data Room to connect Google Drive. -
Read the Google Workspace data access terms
If prompted, read and accept DynamicMail's Google Workspace data access terms only if you agree. Return to Data Sources and start Connect or Add account again. These terms are a separate step from the permission you grant in Google.
What to expect: The local terms requirement is satisfied and Google authorisation can continue.
-
Select the Google Drive account
Complete Google authorisation in the browser tab. Choose the personal Google account or Google Workspace account whose Drive you want to connect. Check the email address before continuing; later, use the Drive accounts list to distinguish multiple connections.
What to expect: Google shows the requested access for the account you chose.
-
Review the broad Drive permission
Read Google's consent screen before agreeing. DynamicMail currently requests basic identity information and https://www.googleapis.com/auth/drive, which can view and manage all your Drive files. This is not read-only or access limited to one selected folder. Continue only if you agree. If you decline required access, the connection cannot be completed. After Google returns you to DynamicMail, check the account's connected status.
What to expect: If authorisation succeeds, the selected Drive account appears connected in Data Sources.
Read Google's Drive access request for the account you selected. -
Check Sync settings and Drive folder ID
Under Sync settings, choose the supported Sync mode: Room folder or All files. Check Drive folder ID for the intended location; root refers to the Drive root. Settings are saved automatically, so wait for the save status before starting a sync. All files can involve a much larger collection of files. These settings select what the app syncs; they do not narrow the permission you granted to Google.
What to expect: The saved settings describe the intended file selection within the app.
-
Choose download-only or two-way room sync
Choose Download all from Google Drive for a download-only run using the current settings. Choose Sync Data Room and Google Drive for normal two-way room sync, which can upload room files as well as download Drive files. Review the room contents before using two-way sync. Watch Progress and the upload/download counts until the operation finishes; the button name does not promise that every Drive file will be imported.
What to expect: Progress shows the files processed, downloaded, uploaded or skipped for that run.
Review downloaded files and the sync result in the Data Room. -
Review the files in your Data Room
When sync finishes, open the downloaded files in the Data Room and check the results. Check any warnings or skipped files. A local room copy and a file in Google Drive are separate items; review each before editing or sharing.
What to expect: You can work with the downloaded room files and see any remaining sync issues.
Understand the permissions
Drive access includes file management
The requested drive scope can view and manage all your Drive files. It is broader than drive.readonly or the file-specific drive.file scope. The current connection does not offer a narrower Google grant through its folder settings. Review the actual permissions on Google's consent screen before accepting.
Folder selection does not reduce Google's permission
Room folder, All files and Drive folder ID control DynamicMail's sync selection. Choosing a folder does not convert the broad drive grant into folder-only access. You can decline the connection or withdraw access later in your Google Account.
Signing in is not connecting Gmail or Drive
Sign in with Google verifies your identity. Gmail access and Google Drive access are separate connection steps, each with its own consent screen. Accepting DynamicMail's data access terms is not the same as granting Google permission. Connecting Gmail does not automatically connect Drive, or the other way round. Review each account and requested permission. Google may group permissions for an app; removing access there can affect other Google connections or sign-in for that app.
Download without uploading in that run
Download all from Google Drive starts a download-only run. It does not upload room files in that run, but it does not change the Google permission or make every other Drive action read-only. Review the settings and the results for processed files.
Uploads and updates are separate from reading
Sync Data Room and Google Drive uses two-way sync and can upload or update file content in Drive as well as download files into the room. Do not use it as a read-only import button. Review the room files and intended Drive location before starting. A completed sync is not a guarantee that every file was processed without conflicts or limits.
Review sharing separately
The broad Drive permission can support changes to file sharing. Downloading a copy is not the same as approving a sharing change. Review the intended people and access level whenever you use a sharing action, and check permissions in Google Drive. Disconnecting DynamicMail does not undo permissions already granted to other people on a Drive file.
Manage your access
Check which account you are managing
Use the Drive accounts list in Data Sources to identify the account by its displayed name and email address. Select the intended account before syncing or disconnecting it. Add account starts a separate account connection; it does not connect the Gmail mailbox for that account.
Disconnect in DynamicMail
Select the intended Drive account and choose Disconnect. DynamicMail disables the local connection and attempts to revoke its Google token. That attempt is not proof that Google removed the grant. Check or remove DynamicMail's access in the connected Google Account separately. Downloaded Data Room files are not deleted.
Remove and disconnect an account
Use the bin control for the intended account in the Drive accounts list; its label is Remove and disconnect account for a connected account, or Remove account for a disconnected one. Confirm the account when prompted. DynamicMail removes the local connection and attempts Google revocation. Local files are kept; remote revocation can fail, so review the Google grant separately.
Remove access in Google as a separate step
Open your Google Account's third-party connections while signed in to the account you connected. Select DynamicMail, find its access to your Google Account and choose See details. Review the permissions, then choose Remove access and Confirm if you want to withdraw them. Google may show different labels or group several connections. Removing access does not delete copies already imported into DynamicMail. You can choose not to grant access, but the connection needs its requested permissions to work.
Downloaded copies and existing sharing remain
Disconnecting, removing an account or withdrawing Google access does not delete files already downloaded into the Data Room, or undo earlier uploads or sharing changes in Drive. Manage the room copies and the original Drive files separately. Delete local copies only where your permissions and applicable retention rules allow it.
If something goes wrong
You declined or did not complete authorisation
Return to Data Sources and start Connect or Add account again for the intended account. If the authorisation panel shows Retry Google authorization, use it to start again. Review the permissions before agreeing; Drive sync cannot work without the required access.
Access expired or was removed
Reconnect the intended Drive account from Data Sources and complete a fresh Google authorisation. Check the account, saved settings and connected status before syncing again. If it still fails, contact DynamicMail support with the displayed error or support reference, never your password or authorisation link.
Your Workspace administrator blocks the connection
If Google says your organisation restricts the app or the requested access, contact your Google Workspace administrator. Ask them to review DynamicMail and the permissions shown by Google. Do not try to bypass your organisation's policy. Continue only if access is allowed.
Files are missing or a sync shows warnings
Check the selected Drive account, Sync mode and Drive folder ID. Wait for settings to finish saving, then check Progress and any skipped-file or error messages. Confirm that the account can access the intended Drive files. Some files may be skipped or limited; do not assume the broad Google permission guarantees a complete import.
